Event Communications Assistant
Appleseed Events is an event planning company located in Valencia, PA, focused on fruitful events for our clients. From large-scale community events to small professional workshops, we manage the event planning details for our clients, so that they can focus on growing their organization. Our clients range from those that we work with year-round, to one-time events. We are constantly working on new projects, constantly learning new things, and constantly evolving as the event industry requires. Event planning has consistently been ranked by CareerCast as one of the most stressful jobs in recent years, and we take that stress off of our clients’ plates, by planning their events from start to finish.
DESCRIPTION
The position is open to applicants who are seeking event planning experience to help direct career decisions in the future, and offers valuable experience across multiple industries. This is a great opportunity for a current student or recent graduate looking for a career in marketing, public relations, or events.
The candidate must be energetic and results-oriented. We utilize a project management system where tasks are tracked, and all processes are documented. The person who is hired for this position must be able to follow written instructions for various tasks. This position is not for someone who is uncomfortable making phone calls, who cannot switch gears quickly, or who cannot work on multiple projects at once. This requires a candidate with confidence in communication, excellent verbal and writing skills, a passion for meeting deadlines and excellent time management with the ability to multitask.
This role will support the Owner of Appleseed Events through event communications. Attendance at events is required. Some tasks may be completed remotely, but because of the nature of our work, at least one in-person work day per week at our office in Valencia, PA is required.
QUALIFICATIONS/REQUIREMENTS
- Excellent written communication skills, for public relations and marketing writing
- Commitment to ~20 hours per week
- Reliable transportation for at least one in-office work day per week, in addition to event attendance
- Excellent interpersonal communication skills, both on the phone and in person
- Good eye for design and detail
- Proficiency with Google Drive applications (Google Docs, Google Sheets, GMail), Meta Business Suite (Instagram and Facebook), and Canva. Adobe, Mailchimp, Constant Contact, and Clickup are all helpful but not required.
- Laptop computer to bring to the office to work
- Ability to prioritize and handle a variety of assignments simultaneously, with good stewardship of time
- Ability to lift up to 25 lbs.
RESPONSIBILITIES
Specific responsibilities include (but are not limited to):
Communication, Marketing, & Public Relations
- Assist with communicating event details, encouraging participation, and recognizing sponsors
- Ensure that all communication and marketing materials are produced accurately and accounted for, including: websites, social media, email marketing. materials such as flyers, brochures, or rack cards
- Assist with creation of signage
- Provide support for collaboration for event advertising opportunities and trades, including print ads, radio, billboards, TV and video, and pre-event and on-site signage, as well as t-shirts or swag for event partners, attendees, and volunteers
- Strategize and implement email marketing for Appleseed Events and event clients utilizing Mailchimp
- Strategize and implement social media marketing content (Instagram, Facebook, and LinkedIn) for Appleseed Events, as well as a few event clients
General
- Conduct responsibilities and duties to the satisfaction of the Owner including achieving goals and meeting deadlines
- Other duties as assigned, which may include office/ event storage organization, inventory, and management of client materials
Sponsors
- Create sponsorship packets and packages, and assist with sponsorship solicitation
- Assist with follow up to sponsors to request feedback, encourage multi-year participation, and thank them for their support
Administration
- Attend in-person and virtual planning meetings with clients and vendors, taking note of action items and following up as needed
- Assist in the coordination of various events, which will include research, concept outlining, organization of details, timelines, administrative tasks, and registration setup
Planning Team and Volunteer Leadership
- Assist with recruiting and managing volunteers for event staffing
- Coordinate volunteer hospitality and volunteer training
Venue & Logistics
- Coordinate with applicable parties for event venue and logistics
- Assist with design site layout considering all applicable factors, including safety and crowd management
Speakers & Vendors
- Collect and centralize speaker bios and headshots
- Collaborate with other community organizations to encourage creative participation in events
- Assist with phone calls and emails to prospective, current, and past event vendors and partners.
On-Site Logistics
- Provide on-site leadership for the days of the event, in addition to set up and tear down. Manage all aspects of the event coordination on site.
- Assist with designing, event preparation, organizing, site set-up and other tasks associated with event operations
